Who we are
Detailing Sanctuary is a mobile car detailing and valeting business based at Wolverhampton, WV3, working across the West Midlands and into Shropshire and Staffordshire. We are the data controller for the personal information described on this page.
- Phone: 01902 288198
- Email: Detailmycar@detailingsanctuary.co.uk
What we collect
We only collect what we need to quote for work, arrange a booking and carry it out:
- Contact details - your name, phone number and email address.
- Location - the address or postcode where the work will be done, so we can confirm coverage and travel.
- Vehicle details - make, model, size and condition, and any photos you choose to send us.
- Job records - what work was carried out, when, and what it cost.
We do not ask for and do not want payment card details through this website.
Why we use it, and our lawful basis
- To answer an enquiry and give you a quote - because you asked us to, and because we have a legitimate interest in responding to people who contact us.
- To arrange and carry out the work - to perform our contract with you.
- To keep records of jobs and payments - to comply with our legal obligations, including HMRC record-keeping.
- To contact you about a coating you've had applied, for example aftercare or an inspection - legitimate interests. You can ask us to stop at any time.
We will not add you to a marketing list or send you promotional messages unless you have specifically asked us to.
Who we share it with
We do not sell your information and we do not share it for anyone else's marketing. We use a small number of service providers who process information on our behalf, and only for the purposes above:
- Our website host, which stores this site and handles enquiry form submissions.
- Our email provider, which delivers and stores messages between us.
- Our accountant or bookkeeping software, for invoices and tax records.
- Google Ireland Limited, for advertising measurement only, and only if you accept cookies. See "Advertising measurement" below.
- Microsoft Corporation, for Microsoft Clarity, which shows us how the site is used, and only if you accept cookies. See "Seeing how the site is used" below.
We may also disclose information where we are legally required to, for example to HMRC, a regulator, or in connection with a legal claim.
How long we keep it
Enquiries that don't lead to a booking are deleted within 12 months. Records relating to work we've carried out - including invoices and payment records - are kept for six years after the end of the tax year they relate to, which is the period HMRC requires. Coating records are kept for the life of the coating guarantee so we can honour it.
Cookies and tracking
This site uses Google Tag Manager, Google Analytics, Google Ads measurement and Microsoft Clarity to understand how it's used and which advertising brings people here. None of it sets a cookie until you accept the choice shown when you first visit - until then, nothing that identifies your browser is stored. You can decline, and you can change your mind at any time using the Cookie settings link in the footer. We don't use advertising trackers from anyone else and we don't profile visitors.
Advertising measurement
When you book or send an enquiry, we share a scrambled (hashed) version of your email address and phone number with Google, so Google can tell us which of our adverts led to real work. Google cannot read the scrambled version to contact you, and we do not share your details for anyone else's marketing. This only happens if you accepted cookies. You can change your mind at any time using the Cookie settings link in the footer.
Seeing how the site is used
If you accept cookies, we use Microsoft Clarity to see how people use this site, so we can fix pages that are confusing or don't work properly. Clarity records how you move around our pages - clicks, taps, scrolling and which pages you visit - along with your type of device and browser and your approximate location, and lets us replay a visit or see a heatmap of where people click. It only records this website, never anything else on your screen or in other tabs.
Anything you type into our forms, such as your name, phone number, email address or postcode, is hidden in your browser before anything is sent, so it never appears in a recording. Payments are taken by Square and are never seen by Clarity. We don't record our private admin pages, and we don't use Clarity to work out who you are.
Clarity sets its own cookies, including _clck and _clsk. Microsoft keeps recordings for 30 days, longer only for any we choose to save, and summary figures for up to 13 months. It processes this data in the United States under the UK-US data bridge. You can switch it off at any time with the Cookie settings link in the footer.
Where your information is held
Your information is held within the UK or the European Economic Area wherever possible. Where a provider stores data outside the UK, we rely on the safeguards required by UK data protection law, such as an adequacy decision or standard contractual clauses.
Your rights
Under UK GDPR you have the right to ask us to:
- Give you a copy of the personal information we hold about you.
- Correct anything that's wrong or incomplete.
- Delete it, where we don't have a legal reason to keep it.
- Restrict or object to how we use it.
- Provide it in a portable format.
Ask by emailing Detailmycar@detailingsanctuary.co.uk. We'll respond within one month. There's no charge.
If you're unhappy with how we've handled your information you can complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113. We'd appreciate the chance to put it right first.
Changes to this notice
If we change how we handle personal information we'll update this page and change the date at the top.
